Terms and conditions
Last updated 04.09.2026
These are our general terms and conditions in English. The German version is the binding one.
§ 1 Scope
These terms apply to all treatments and courses provided by REGIO Physio Ruhr GmbH at the practices in Westerfilde, Mengede, Huckarde, Castrop-Rauxel, Waltrop and Lünen-Brambauer, and to consumers within the meaning of § 13 BGB. We recognise differing terms only where we have agreed to them in writing.
§ 2 How a contract is formed
A treatment contract under §§ 630a ff. BGB comes about when we confirm an appointment and you accept it. An appointment request sent through our website is an enquiry and not yet a contract; an appointment counts as agreed only once we have confirmed it by telephone, in writing or at the practice. No goods are sold through this website.
§ 3 Medical prescription
Treatment at the expense of a statutory health fund requires a valid Heilmittelverordnung. The original must be presented; a photograph is not sufficient for billing. Under the Heilmittel-Richtlinie treatment must normally begin within 28 days of the date on the prescription, or within 14 days where the doctor has marked urgent need. If that period passes, the doctor must issue a new prescription. We check the prescription before treatment starts and point out apparent errors, but we do not owe a legal review of the doctor’s decision.
§ 4 Prices and payment
The prices on our fees page apply to self-payers and privately insured patients and are the same at all six practices. Invoices are payable in full within 14 days of receipt. For patients with statutory insurance we bill the health fund; you pay the statutory co-payment under § 61 SGB V of 10 euros per prescription plus 10 per cent of the amount settled. This co-payment is required by law and we cannot waive it. If you present a valid exemption certificate for the current year, no co-payment is charged. Insured persons under 18 are exempt.
Whether and how much a private insurer or a Beihilfe office reimburses depends solely on your contract with them. We cannot promise reimbursement.
§ 5 Appointments and cancellations
Agreed appointments are binding on both sides. Please cancel at least 24 hours in advance, by telephone at the practice concerned or by replying to your confirmation. For a later cancellation or a missed appointment we charge a cancellation fee equal to the self-pay price of the treatment booked, because the time can no longer be given to someone else and health funds do not pay for a session that did not happen. The fee does not apply if you show that timely cancellation was impossible for reasons outside your control.
If you arrive more than ten minutes late, the treatment is shortened accordingly so that the following appointments can be kept.
§ 6 Courses
Prevention courses are booked as a series and paid in full before the course starts. Cancellation is free of charge up to 14 days before the start; after that we refund the fee only if we can fill the place. Where illness is certified by a doctor we refund the sessions not attended on a pro rata basis. We issue a certificate of attendance if you attended at least 80 per cent of the sessions. Whether your health fund contributes to a course under § 20 SGB V, and how much, is decided by the fund alone.
§ 7 Your part and information
For treatment to be safe you must tell us beforehand about previous illnesses, operations, medication, implants, pregnancy and anything else that may rule out a technique. Please tell us if any of that changes during the course of treatment. We explain the nature, extent and risks of treatment before it begins; you may refuse or stop a treatment at any time.
§ 8 No promise of a result
Physiotherapy is a service, not a work product. We owe careful treatment in accordance with recognised professional standards, not a particular outcome. Statements on our website and in conversation are not a guarantee of a result.
§ 9 Liability
We are liable without limitation for intent and gross negligence and for injury to life, body or health. For ordinary negligence we are liable only for breach of a material contractual obligation and limited to the foreseeable damage typical of this type of contract. We accept no liability for valuables brought with you.
§ 10 House rules
Smoking is not permitted in any practice. Animals may not enter the treatment rooms; assistance dogs are excepted. Audio and video recording is not permitted on the premises. We may stop treatment if staff are threatened or insulted.
§ 11 Final provisions
German law applies. If a provision is invalid, the remainder stays in force. We do not take part in dispute resolution proceedings before a consumer arbitration board. These terms were last updated on 4 September 2026.
